Find Contact

The Find Contact tool allows your AI Assistant to retrieve contact information from your HubSpot account. This powerful feature enables your AI to access and utilize contact data during conversations, enhancing its ability to provide personalized and relevant responses.

Setting Up the Find Contact Tool​

Follow these steps to set up and configure the Find Contact tool:

  1. Access the Tools Tab
    • Open your AI Assistant dashboard.
    • Navigate to the "Tools" tab.
  2. Select the Find Contact Tool
    • Locate and click on the "Find Contact" tool in the list of available tools.
    • This will open a modal window with multiple tabs.
  3. Connect Your HubSpot Account
    • If you haven't connected your HubSpot account yet, refer to the How to Connect Your HubSpot Account guide.
    • In the "Setup Account" tab, select the HubSpot account you want to use with this tool.
  4. Configure the Tool

    • After selecting your account, move to the "Configure" tab.

    • Here, you'll find two important parameters to set up:

      a. Search Property Name

      • Choose either "Id" or "Email" from the selector.
      • This determines which unique field will be used to search for contacts in HubSpot.
      • Check Expose To AI Assistant if you want your AI to choose between Id and Email when searching. We recommend to check it for enabling you searching by contact hubspot url (copy the url of the contact page from hubspot) or introduce their email.

      b. Properties

      • Select which contact properties should be returned from HubSpot.
      • Click on the + button and then use the selector to choose from all available properties, including custom ones.
      • Check Expose To AI Assistant if you want your AI to determine which properties to fetch. Note: This is unchecked by default for security reasons.
  5. Save Configuration
    • After setting your preferences, save your configuration.
  6. Test the Tool
    • Move to the "Test" tab.
    • Here, you can manually test the tool to ensure it's working correctly with your settings.

Important Notes​

  • The Expose To AI Assistant checkbox allows your AI to override the default value you've set. If checked and the AI doesn't provide a value, the default is used.
  • For security reasons, be cautious when exposing the Properties parameter to the AI Assistant. Only enable this if you're comfortable with the AI potentially accessing all contact properties.

Use Cases​

Here are three use cases that demonstrate how to combine the Find Contact tool with other tools for enhanced functionality:

  1. Personalized Email Outreach
    • Tools: Find Contact + Web Browser + API (Email Service)
    • Use Case: The AI Assistant can find a contact's information using their email, research recent company news using the Web Browser, and then use an Email API to send a personalized outreach message incorporating both the contact's HubSpot data and recent company developments.
  2. Meeting Preparation Assistant
    • Tools: Find Contact + Researcher Agent + API (Calendar Service)
    • Use Case: When preparing for a meeting, the AI can find the contact's information, use the Researcher Agent to gather recent industry trends relevant to the contact's business, and check the user's calendar for any past interactions or upcoming events with the contact.
  3. Lead Scoring and Prioritization
    • Tools: Find Contact + Lead Scorer AI Agent + Hubspot Update Contact
    • Use Case: The AI can retrieve contact information, use the Lead Scorer AI Agent (pre-built in Cubeo AI) tool to calculate a lead score based on various properties (like interaction history, company size, etc.), and then use Hubspot Update Contact tool to update the lead score in your CRM.
