Update Company

The Update Company tool enables your AI Assistant to modify existing company records in your HubSpot CRM. This powerful feature allows for automated updates to company information based on new data gathered or insights generated by your AI, ensuring your CRM stays current and valuable for your account-based marketing and sales strategies.

Setting Up the Update Company Tool

Follow these steps to set up and configure the Update Company tool:

  1. Access the Tools Tab
    • Open your AI Assistant dashboard.
    • Navigate to the "Tools" tab.
  2. Select the Update Company Tool
    • Locate and click on the "Update Company" tool in the list of available tools.
    • This will open a modal window with multiple tabs.
  3. Connect Your HubSpot Account
    • If you haven't connected your HubSpot account yet, refer to the How to Connect Your HubSpot Account guide.
    • In the "Setup Account" tab, select the HubSpot account you want to use with this tool.
  4. Configure the Tool
    • After selecting your account, move to the "Configure" tab.
    • Here, you'll see a dynamically generated list of all company properties available in your HubSpot account, including custom properties.
  5. Search Property Name Configuration
    • At the top of the configuration, you'll find the Search Property Name setting.
    • Choose either "Id" or "Domain" from the selector.
    • This determines which unique field will be used to identify the company to update in HubSpot.
    • Check "Expose To AI Assistant" if you want your AI to choose between Id and Domain when searching for companies to update.
  6. Property Configuration
    • For each property:
      • You'll see a checkbox labeled "Expose To AI Assistant".
      • By default, all properties are exposed, allowing the AI to update data for any field.
      • If you want to restrict the AI from updating specific fields, uncheck the "Expose To AI Assistant" box for those properties.
  7. Save Configuration
    • After setting your preferences, save your configuration.
  8. Test the Tool
    • Move to the "Test" tab.
    • Here, you can manually test the tool to ensure it's working correctly with your settings.

Important Notes

  • The Update Company tool dynamically fetches all available company properties from your HubSpot account, including any custom properties you've created.
  • By default, all properties are exposed to the AI Assistant, giving it the ability to update any field for a company.
  • You have granular control over which properties the AI can update. Use this to ensure sensitive or specific fields are only updated manually or through other automated processes if needed.
  • The Search Property Name is crucial for identifying which company to update. Ensure your AI Assistant has access to either the company's HubSpot ID or domain for successful updates.

Scenario: Automatically update a company's record with recent news and developments.

Workflow:

  1. The AI Assistant regularly searches for news about companies in your CRM using the Web Browser.

  3. The Update Company tool is then used to update a custom "Recent News" field in the company's HubSpot record.

Configuration:

  • Create a custom property in HubSpot for "Recent News" (Multi-line text).
  • Ensure this property is exposed to the AI Assistant in the Update Company tool configuration.

2. Financial Data Enrichment

Scenario: Periodically update company financial data for publicly traded companies.

Tools: Update Company + Web Browser + Web Scraper

Workflow:

  1. For public companies, the AI Assistant fetches the latest financial data using the Web Browser and the Web Scraper tools.
  2. The AI Assistant builds a summary report about their financial report.
  3. The Update Company tool updates relevant fields in the company's HubSpot record with this financial data.

3. Competitive Landscape Analyzer

Scenario: Regularly update a company's competitive positioning based on market analysis.

Tools: Update Company + Web Scraper + LinkedIn Companies Search + AI Assistant (trained on market analysis)

Workflow:

  1. The AI uses Web Scraper and LinkedIn Companies Search to gather data on the company and its competitors.
  2. Using its training on market analysis, the AI Assistant analyzes the gathered data to determine the company's current market position.
  3. The Update Company tool is used to update custom fields like "Competitive Advantages", "Market Position", and "Key Competitors" in the company's HubSpot record.

Configuration:

  • Create custom properties in HubSpot for competitive analysis fields.
  • Ensure these properties are exposed to the AI Assistant in the Update Company tool configuration.
